STAGE ONE: Initial Consultation
The initial consultation provides Outhouse Media with a means for gathering company literature and logos and the clients' requirements in order to produce a visual. This is necessary whether the client requires a website or print work. Depending upon the size and complexity of the work, the standard website visual will consist of a front page (home/welcome page) and one subsequent page. Please Note: The integrity and legality of all content and imagery supplied by the client remains the responsibility of the client. The client is responsible for attaining any necessary copyright or legal rights to the information provided for use in either their website or print work. Outhouse Media takes no responsibility for this.
STAGE TWO: Visual Consultation and Sign Off
The Visual Sign Off consists of a further meeting with the client in order for Outhouse Media to present the visual created for them. The visual is not a programmed example of the website, it will consist of a flat graphic enabling the client to get a feel for the design and the layout and how their website will work, before the work commences. This meeting gives the client the opportunity to input their own design thoughts and functionality ideas to the website, which may incur, depending upon the complexity of the amends, a further visual consultation may be necessary. The visual service is a free, no obligation service and no work will be undertaken until the client has signed a contract/agreement for Outhouse Media to commence with the work. This Sign Off takes the form of the client agreeing to the proposed design and size of the website as well as the visual context of the website. A Visual Sign Off will be signed by both the client and Outhouse Media. Only at this point will Outhouse Media start to programme the website for use.
Amendments/alterations to the design and functionality signed off by the client after the Visual Sign Off will incur costs. The current amendment/alterations fee stands at £35 per hour, unless otherwise agreed and discussed with the client.
Please Note: Amendments/alterations involving software being added to the site will be have to be quoted for separately as this depends upon the complexity of the software to be added. Should further pages be added to the site after Sign Off, the charges are as follows: £100 per additional page or £50 per additional pop-up page.
When the Visual Sign Off takes place the client is agreeing to the work commencing, as well as 33% of the total cost being invoiced before work commences. The remainder of the balance is due upon completion and Live Site Sign Off of the website by the client. The client also agrees to our cancellation terms. Print Visual Sign Off:
In the case of print work, the Visual Sign Off gives the go ahead for the design to go to print, therefore, the client is agreeing to the full liability of the total balance being paid upon delivery.
Please Note: The print visual is printed by Outhouse Media for sign off in C M Y K (standard office printer colours). A Print Shop will print the actual print work in Pantone colours (these are specific colour references). Therefore, there may be a slight discrepancy in the tones or colours used in the visual compared with the actual print work. Outhouse Media cannot be held responsible for this, if the client requires specific colours they must provide their own Pantone references to Outhouse Media for the Print Shop. STAGE THREE: Live Site Sign Off
This consultation takes the form of the website being presented, fully programmed, to the client on a lap top, where the client will be able to navigate their website. Reasonable amendments can be undertaken at this stage if necessary, these may take the form of minor alterations that would not affect the programming of the design and functionality of the website. The Live Site Sign Off will be signed by both the client and Outhouse Media when the client is satisfied with the work produced and is happy for the website to Go Live (uploaded to the Internet). As soon as the site goes live, the client will be invoiced the remainder of the outstanding balance. Please see our note on our payment terms.
IMPORTANT NOTES:
Work can only commence when content has been received by Outhouse Media. Outhouse Media cannot be held responsible for delays caused by the failure to supply content in time.
Websites completed, but awaiting final content additions will be invoiced for all work carried out 'to date' after a 2 month waiting period.
Agreeing to the production of a website by Outhouse Media, the purchase of the respective chosen domain name of the client will be free of charge. Additional domain name purchases on the behalf of the client will be charged at £15 for standard .co.uk/.net suffixes, and £30 for a .com suffix. Please Note that all subsequent Domain Name Purchases are costed out at £15 per .co.uk and £30 per international domain. (Or Extra Domain Names not related to a client website.) Hosting of subsequent domains are charged out at £25 for .uk domains and £50 per international domian per annum. This cost renews the domain, the hosting on that domain and any emails attached to the name (forwarding).
Website hosting is free of charge for the first year for all clients agreeing to host their websites with Outhouse Media, as is email set up and configuration. Hosting is charged at £150 per year thereafter. This will be invoiced one month prior to the expiry of the current hosting. Failure to pay the hosting renewal within this month will result in the automatic take down of your website and emails. Hosting is the space bought by Outhouse Media to keep your website, domain name and email activated via the Internet.
PAYMENT TERMS: The payment terms of Outhouse Media are as follows:
All accounts are 14 day accounts unless previously agreed and discussed with Outhouse Media.
Payment can be made via cheque, cash or by BACS transfer. Cheques to be made payable to Outhouse Media BACS transfer to account: Outhouse Media. Bank: HSBC, PO BOX 8, 23 Bridge Street, Worksop, Notts, S80 1DR. Account No: 31343009, Sort Code: 40-47-21
Late Payment:
Failure to pay within the 14 day period will result in a reminder being sent to the client. Upon failure to pay within this further 14 day period, the debt will be forwarded to our collections agent Thomas Higgins. Thomas Higgins is a legal firm dealing in collections, and will be instructed to send a letter before action giving the client 7 days to pay before legal action is taken, to retrieve the monies owed. Legal action cannot be halted once the process has begun without payment in full from the client to Outhouse Media.
Cancellation:
Cancellation of any website or print work after the Visual Sign Off will result in a cancellation fee. The cancellation fee will be a minimum of 50% but may be more dependant upon the work carried out up to the cancellation date.
